The challenge

The client had a customer-facing booking site and a back-office operating system. Both were useful on their own, but neither understood the other. Bookings drifted from jobs, jobs drifted from invoices, and staff had to close the gaps manually.

The booking flow needed to account for service type, recurring schedules, prices, technician availability, addresses, add-ons, payment choices, and exceptions. It also had to create a traceable result when an external system did not respond as expected.

What ScalarWP built

ScalarWP extended Fluent Forms Pro into an orchestration layer rather than replacing the tools the team already used. The delivery included dynamic and subscription-aware pricing, a real-time technician-calendar view, a signed Simpro webhook receiver, and admin controls for pricing and van records.

When a customer completed a booking, the integration created the matching Simpro job, created either a Stripe subscription or one-off charge, and placed the appointment against the appropriate technician schedule. A self-service backplane gave the operations team control of the data they need day to day without waiting for a developer.

The work also covered the 36-form build, mapping the Simpro tenant, launch migration, and practical runbooks for the client’s team.

The outcome

  • Bookings, jobs, payments, and scheduled work now move together through one connected flow.
  • The build included a 40-module custom plugin, three admin panels, seven REST endpoints, and an HMAC-signed webhook receiver.
  • The client can manage core pricing and operational records directly.
  • Failure states are visible and auditable instead of becoming silent data drift.
