The challenge

The client’s assessment existed in paper and spreadsheet form. It combined multiple scales into an overall index, assigned respondents to ranking bands, and needed personal, organisation, and research-level reporting. One purchaser also needed to be able to buy a group of seats and share them with colleagues.

An off-the-shelf form tool could score an individual form, but it could not connect answers across forms, allocate a one-use shared seat, or generate the reporting model the research organisation needed. The client wanted to retain Fluent Forms’ familiar editor and entry management, so replacing it with a standalone application was not an acceptable trade-off.

What ScalarWP built

ScalarWP built the assessment as a Fluent Forms add-on. It introduced custom scale, score, and index field types, a cross-form formula engine, and editor-friendly tokens so administrators could manage scoring logic without code.

For participant access, we created a key-based model: a buyer receives a main key, a pool of single-use sub-keys, and a shareable link. Respondents can use a verified key and cookie-backed session rather than creating an account first. The system validates that each claimed seat belongs to its owner pool and logs any mismatch for review.

The reporting layer produces personal, organisation-level, and global research reports, with PDF and Excel export. Content that would otherwise require deployment—ranking bands, interpretation text, colours, scale order, reference lists, and email copy—is managed through admin screens within Fluent Forms.

The outcome

  • Plugin version 2.7.4 shipped after three delivery phases.
  • 48 PHP modules, 19 Vue components, four custom field types, three shortcodes, and 21 public/admin endpoints.
  • Supports MySQL 5.7 and 8 by selecting compatible aggregation paths at runtime.
  • Four custom tables support the assessment-specific data model.
